AI Executive Assistant FAQ
Everything you need to know before building your AI chief of staff — capabilities, integrations, security, timeline, and ownership.
Can AI really act as an executive assistant?
Yes — for the operational half of the role. A well-built agent runs your calendar prep, daily briefings, status reports, task creation, and cross-tool research without supervision. It will not replace human judgement on people decisions, but it removes 60–80% of the admin layer that pulls executives away from strategy.
What can an AI agent assistant actually do?
In practice: pull project status from Jira, draft and send daily agendas, transcribe voice notes into structured tasks, generate cross-platform reports from Google Analytics + HubSpot + LinkedIn, run autonomous prospecting, monitor campaigns and flag issues proactively, brainstorm and ticket follow-ups, and write SEO content with self-review. All from a Slack thread.
Which AI tools are best for an executive assistant role?
Foundation models (Claude, GPT-4) do the reasoning, but the value is in the wiring: MCP servers for tool access, persistent memory for context, voice transcription for mobile use, and scoped permissions for safety. Off-the-shelf chatbots cannot do this — production-grade integration is what makes it useful.
How is this different from ChatGPT?
ChatGPT can talk about your work. This agent does your work. It lives in Slack/Teams/Telegram, holds persistent memory of your projects and decisions, takes real actions in Jira/HubSpot/Notion, runs on your infrastructure with audit trails, and works in your language. ChatGPT is a research tool — this is an operator.
Which integrations are supported?
Out of the box: Slack, Microsoft Teams, Telegram, Discord, Jira, Notion, HubSpot, Google Analytics, Google Search Console, LinkedIn, Apollo. Anything else with a REST API can be added via MCP — typically in days, not weeks.
Does it support voice messages?
Yes. Drop a voice note on Telegram, Slack, or Teams. The agent transcribes it, understands intent, and either replies, creates tasks, or runs the workflow you asked for. Useful when you are between meetings or driving.
How is my data secured?
The agent runs on your servers or in a private cloud you control. Permissions are scoped per tool and per user. Every action is logged for audit. Your data never leaves your perimeter, and we sign the standard NDAs and DPAs your security team will ask for.
How long does setup take?
Essential: roughly 1 week from kickoff to a working Slack agent. Professional: 2–4 weeks for a multi-integration, multilingual deployment with custom MCP servers. Enterprise: 4–8 weeks depending on compliance scope.
Do we own the agent after the project is done?
Yes. The code, the MCP servers, and the configuration all belong to you. We hand over a working system with documentation, and you can keep us on retainer or run it in-house — your call.
